We are looking for a HR Administrative Assistant/Receptionist at Women's Healthcare Associates' administrative office in Tigard. This position will manage the reception desk for the administrative office and provides administrative support and general clerical duties for the Human Resources department.

ESSENTIAL JOB DUTIES:

  • Greets and directs visitors.
  • Answers and directs departmental phone calls.
  • Receives, sorts and distributes mail and interoffice mail, prepares outgoing mail, assists with assembling and distributing internal/external mailing projects, and monitoring faxes.
  • Maintains orderliness and cleanliness of administrative conference rooms, supply room, galley and break room.
  • Assists with setup and organization of conference rooms; Provides set up of equipment, food/ beverage orders, etc. for meetings.
  • Proofreads and types documents and correspondence, including memos, letters, minutes, etc.
  • Assists with responding to facilities concerns and arranging appropriate follow-up.
  • Assists in corporate activities and programs, as requested.

Human Resources duties may include:

  • Assists HR department and other administrative employees with printing and faxing of documents.
  • Performs scanning and electronic filing for HR department. Maintains and ensures electronic files are current and organized properly.
  • Monitors the HR Helpdesk and distributes tickets, accordingly.
  • May conduct verbal and written verifications of employment requests.
  • May assist with basic data entry functions within the Human Resources Information System (HRIS).
  • Monitors the HR voicemail, responds to inquiries, and refers complex questions to appropriate staff member.
  • Prepares new employee orientation materials.
